General Information for Athletes and Parents
All of this information will be shared at our opening parent meeting in August at Rotary Park 
Parents-In light of the last minute change in coaches for AMS please keep rechecking this sight for any change in plans.  We will keep you as updated as possible. Please bear with us as we all adjust to the new changes and logistics of two schools.

Welcome to the Beavercreek Middle School Cross Country Team.  We are glad to have you decided to join our team.  We have outlined some of the frequently asked questions about rules and procedures for our team.  Before you can participate with the Cross Country team you need to have a physical form filled out with a doctor’s signature and Emergency Medical Form.  You can find these forms on the Beavercreek High School web site or on the CMS Website under athletics then cross country. 

 

Practices:

 Athletes need to have 10 practices before they can participate in a meet.   We will meet at Rotary Park please check the calendar on the website because we will be shifting between Victory Park Shelter and the Main Shelter.  Once the school year starts we will practice every afternoon after school. FMS athletes will change and do a warm up run to Rotary park where we will meet up with the AMS students.  School day practices will be from 3:45 until 5:15 during August and September.  In October we typically have a one hour practice 3:45-4:45.  Again we are trying this new combined practice and meet schedule and we may need to tweak things because we have a combined middle school team.   

 

 

After School Procedures:   When you are dismissed from school at 3:45  you are to report to your locker rooms and get dressed quickly.  Athletes will meet in the front circle and run with a coach to Rotary Park.  If you live in the Hunter’s Ridge Development we will work out arrangements with AMS for cool down at Rotary.  We will have one coach from FMS with a car at Rotary every day and one coach will bike/run with the athletes down to Rotary.   

 

Pick Up:   We ask that parents pick up promptly at 5:15.  If we have to wait with the same athlete more than 2 times after 5:30 the athlete will be removed from the team.  Please respect our time as co-coaches. 

 

Inclement Weather:

***If we have thunderstorms we will have to cancel or move practice to CMS.    If we have thunderstorms after the majority of the athletes have the official 10 days of practice we may consider canceling a practice.  If we get down to Rotary or we are out running and inclement weather happens quickly we will call school transportation to transport us to a safe area (most likely CMS). 

 

Being Prepared for Practice Means:

Proper running shoes-tied tightly

Shorts and t-shirts (light colors are best) for hot days

Sweats, sweatshirts, gloves for cooler days

Rain gear (Yes we run in the rain!)

Water Bottle (You may want to freeze half a water bottle and fill it after school)

Uniforms—Black t-shirt/Underarmour or  black t shirt/tutleneck under uniform on a cold day.

 

Pay to Play- Athletes are required to pay $200 per athlete.  As coaches we will collect all of the checks one time August 22nd.  After that time parents will need to drop off a check to Michelle Haas in the FMS office.  If pay to play is an issue please make arrangements with the office or athletic director. 

 

Dress for Meet Days

On days of meets students are to dress up at school.  If we have a Saturday meet students are to dress up on Friday (unless it is a Spirit Day or if you are involved in WEB activities). If it is a spirit day students are encourage to wear their Cross Country T-Shirts (not uniform singlets) or orange and black. 

 

Meets:

We have between one and two meets a week. We will be having one meet during the week.  We currently have about 12 meets on the schedule please look at the individual calendars on the website for the most up to date information. 

 

Bussing for Saturday Meets- We will always leave from CMS for Saturday meets. All students are required to ride the bus to and from the meet. The ONLY exception for a child to ride home with parents is if an Alternate Transportation Form is filed with the coaches the day before the meet. Coaches will not accept Alternate Transportation Forms the day of the meet. If a child is driven by a parent to a meet, the child will be required to ride home with the parent. They will not be permitted to ride the bus home.

 

All athletes will be able to run in the meets.  We will have some meets in which we will have to designate so many athletes as varsity and the rest will run reserve or open races (depending on what the race director calls them at the meets).  We will be looking at CMS/AMS as one team for these decisions and the coaches from both schools will work together to make the call. We will have some meets in which we will have 2 races and some that will have 4 races.  

 

Reasons for Dismissal From the Team:

Grades- You will be asked to show us your grades from 4th quarter last school year to meet eligibility requirements. You must be passing 75% of your classes to be eligible for the team.    You will also ask for a grade update at interim time. 

 

Not following school designated rules via the school handbook.

2 times late to practice without a teacher or parent note.

2 unexcused practices without a parent or doctor note. 

Missing two consecutive meets without approval from the coaches-    Students are expected to participate in meets or they are not part of the team. If you are part of a soccer club we would like a copy of the schedule and when you will not be at meets.

 

We will not have students on the team if they don’t want to participate at the meets.  If you are not competing(not enough practices or injuries) at the meets you are considered a manager and will be assigned jobs to help the coaches. 

 

Alternate Transportation Forms:

For extraordinary reason athletes may need to leave a meet for family reasons.  You will need to have an alternate transportation form filled out and turned into Mr. Ruef (Athletic Director) before the meet. If you ride with a parent to a meet you must go home with your parent.  Parents may access Altrnate Transportation  forms on the Coy Middle School Website.

 

You will need signatures from either Mrs.Pope or Mrs. Rice at CMS.  If you have a request of this nature put the completed form in Mrs. Pope’s or Mrs. Rice’s mailbox by the end of the school day.

 

Uniforms:

You will be issued a singlet (shirt) and shorts. For cold weather meets you may wear a black t-shirt,  black turtleneck or black Under Armour gear under your singlet.  If you would need leggings or UnderArmour for your legs it must be BLACK.  We must have uniformity of color on the team according to the OAA rules. 

 

 

Communication:

Since this is a middle school program and not a recreation league--- students will need to be responsible for relaying information to parents and getting the proper paperwork home.  All of this information is backed up on our school website.  We are typically a paperless team—since our experience shows that kids leave the paperwork behind in the locker room.

 

Please respect that as coaches – we are teachers first and coaches second. If you leave a email or phone message after our prep time—we may not have time to get back to you until practice is over or the next school day.  We juggle our teaching responsibilities first during the day and then coaching responsibilities.   If you have a question or concern please try to talk to us after practice.  One of the coaches is always at the front of the building or in room113/211 after practice until the last athlete leaves. 

 

 

Parent Volunteers:

Preseason-  We would love a parent to alphabetize forms while they are waiting for their athletes the first two weeks. 

 

Tent/Water- We need  parent(s)  that will be willing to help the athletes set up the tent on meet days.  We also need someone to help athletes take the tent down and get it back to the bus when the meet is over. 

 

Timers/Recorders- We will provide on the job training for what ever job you would prefer.  Ideally, it would be nice to have a parent of a girl help keep times for the boys and vice versa—this way parents can watch their own child  beginning of the season is always difficult for all of us as we get names and faces of athletes together.  We will not always get every athletes time at the meet but we can look the times up online that we miss.  Once you see the finish of a middle school meet you will have a greater understanding of this with a large team. 

 

Record Parent:  When we have 70-80 athletes sorting through the stats takes a great deal of time.  We will have a few errors (human nature).  We would love it if two parents would like to double check the spreadsheets and help us out.  We could have one parent take girls and one take boys. 

    

Picture Parents-We have relied on parents to take pictures of all the athletes and submit them to us on a DVD weekly for the Banquet slide show.  We have had students pull the slide show together for the team. 

 

Uniform Handouts-  We need 3 parents to help pass out uniforms on Wednesday, August 23rd.  We hand out uniforms to 8th graders, then 7th graders.  We need a parent to help record all of the uniform numbers.

T-Shirts and Sweatshirts (this is totally optional)

We will do a one time order of Beavercreek Cross Country Shirts.  This information will be passed along in the next few days.
